AACIE – Association of Contract Agents of the European Institutions

1. Scope
These Terms & Conditions govern:

applications for membership in AACIE;
-
payment of membership fees;
-
voluntary donations made in support of AACIE’s activities.
By submitting a membership application or making a donation, you agree to these Terms & Conditions.
2. Membership eligibility
AACIE membership is reserved exclusively to Contract Agents working for the European Union institutions.
Eligibility is verified on the basis of the information provided by the applicant. AACIE reserves the right to request supporting documentation where necessary.
3. Membership application and approval
Submission of a membership application and payment of the corresponding fee does not automatically confer membership status.
All applications are subject to:
-
verification of contractual status; and
-
approval by the AACIE Board, in accordance with the association’s statutes and internal rules.
Until approval, applications remain in pending status.
4. Membership fees
Membership fees are set by the association and may vary depending on the selected membership type (e.g. annual or multi-year).
Membership fees are used exclusively to support AACIE’s statutory objectives and operational costs.
5. Renewal and duration
Membership is valid for the duration corresponding to the selected membership type.
Renewal conditions, where applicable, are communicated to members in advance. Automatic renewal may be offered as an option but does not affect the requirement for continued eligibility.
6. Donations
Donations to AACIE are voluntary and do not confer membership rights.
Donations are used to support AACIE’s activities in line with its non-profit purpose.
Unless otherwise required by law, donations are non-refundable.
7. Payments and processing
Online payments for membership fees and donations are processed securely via Stripe.
AACIE does not store or have access to full payment card details. Payment processors operate under their own terms and privacy policies.
AACIE shall not be held responsible for technical issues or service interruptions attributable to third-party payment providers.
8. Legal assistance
AACIE may provide legal assistance to members when:
-
an issue has a significant impact on the category of Contract Agents; and/or
-
it arises from the contractual relationship with the European Union institutions.
The modalities, scope and availability of legal assistance are governed by the association’s internal rules and subject to:
-
available resources; and
-
assessment of the merits of the case by the Board.
9. Data protection
Personal data is processed in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR).

10. Limitation of liability
AACIE shall not be liable for:
-
indirect or consequential damages;
-
actions taken based on information provided in a general or non-binding context;
-
matters outside its statutory scope.
Nothing in these Terms limits liability where such limitation is prohibited by law.
11. Amendments
AACIE reserves the right to amend these Terms & Conditions where necessary.
The applicable version is the one published on the association’s website at the time of submission or payment.
12. Applicable law and jurisdiction
These Terms & Conditions are governed by Belgian law.
Any disputes shall fall under the jurisdiction of the competent courts of Brussels, unless mandatory legal provisions provide otherwise.
